Edelweiss Policies

Enrollment Policy

Beginning May 2021, all new students will be charged an annual $50 administrative fee. This fee will be billed annually on the anniversary of the student’s enrollment, and will cover expenses related to school sponsored events and activities, make-up workshops, and ensure regular lesson scheduling. Lesson openings are subject to both teacher’s and student’s availability.

The school will contact each family to set up lessons once the registration form has been completed and the admin fee paid. After a regular weekly schedule has been set up, you will be able to contact your teacher and/or office staff to reschedule lessons or lesson times.

 

Tuition Policy

We bill once a month at the beginning of each month. Lessons must be paid in advance. From the date of the invoice, we give families a 7-day window to pay their balance. For each week after the initial 7-day window, a $20 late fee will be incurred. If we have not received a payment on the 20th of any given month, we will automatically charge the card saved on file for the balance due, plus late fees.

All families who enrolled after November 1st, 2020 are automatically enrolled in monthly auto-pay. ESOM will charge the card on file, which is the card used and authorized at the time of registration and enrollment.

Discontinuing Lessons Policy

We want our families to have the flexibility to choose when to start and when to stop lessons. Therefore, we do not have a contract. However, as a courtesy to the teachers and their schedules, as well as other potential students, if you need to stop classes, a 30 days written notice is required. We also ask that you state the reason why you want to stop lessons.

If you fail to give us proper notice, we reserve the right to charge your card for the remainder of the classes within that 30-day period.

 

Absence Policy

To reschedule a lesson, a 24-hour notice is required. Automated reminders are sent 24 hours before each class. Notify the school at info@edelweisssom.com or inform your teacher if you will miss a class.

With proper notice, we will reschedule your class. Without notice, make-up classes will not be provided. However, students may attend one of four group make-up workshops held at the end of each semester. Workshop dates are announced 2-3 weeks in advance, and families will receive a sign-up email.

 

Attendance Requirements Policy

Students must attend at least three of four scheduled lessons each month. For months with five weeks, attendance of at least four lessons is required. Absences without notice will result in forfeited lessons, with no make-up options.

Properly communicated absences qualify students for group make-up workshops. Workshop details will be emailed 2-3 weeks before they occur.

 

Discount Policy

We offer a 2% discount for families who prepay for one semester, and a 5% discount for families who prepay for two semesters.

 

Referral Program Policy

We want to thank our families who recommend us to their friends and neighbors. If you refer a friend to us and they take classes for at least one month, we will gift your child one free class per referral.

 

Teacher Absences/Substitutes Policy

Most of our teachers are active performers and have families. This means, sometimes they have concerts, are sick or have an important family matter to attend, in which case the teacher will do his/her best to reschedule.

In the event rescheduling is not possible, we reserve the right to find a substitute teacher, who is equally qualified to teach the assigned instrument. This ensures regular progress as well as a feasible alternative for us to keep track of all lessons and makeups.

 

Photography & Media Release Policy

We may photograph or record students during lessons, recitals, and school-sponsored activities for use in brochures, websites, social media, posters, advertisements, and other promotional materials. By enrolling at Edelweiss School of Music, parents/guardians (or adult students) grant the school permission to use such images and recordings for promotional and marketing purposes. Additionally, we will retain the right to copyright these materials in our name.

If a parent/guardian or student does not wish to be photographed or recorded, a written request must be submitted to the school administration at info@edelweisssom.com before the student’s first lesson.

 

Early Drop-Off & Late Pickup Policy

We are dedicated to provide a safe and enriched learning environment during scheduled class times. However, please note that we do not offer childcare services before or after lessons.

To accommodate families, students may arrive up to 10 minutes before their scheduled class and must be picked up no later than 10 minutes after their class ends. Beyond this window, we cannot take responsibility for the child’s supervision, as our teachers are engaged in lessons, and our school operates as an open space with frequent foot traffic. For the safety of all students, we kindly ask parents and guardians to ensure timely drop-off and pickup. If an emergency delays pickup, please notify the school as soon as possible.

 

Other Fees Policy

Formal Recitals, Festivals, Theory Tests and Competitions require a separate charge mandated by the organization hosting the event. We will always inform you of the associated fees when we email students the sign up forms and before adding these to your invoice.

 

Non-Solicitation Agreement Policy

Our teachers are under contract with Edelweiss School of Music. As such, they sign Non-Compete/Solicitation Agreements with the school. It is unethical to approach teachers privately for lessons outside of the school without the knowledge and/or express permission of Edelweiss School of Music, and is illegal for teachers to enter into such an agreement or to approach students for the same.
